Liquid Media is looking for a Director of Agency Operations to build and evolve the systems, processes, and rhythms that allow our agency to deliver high-quality client work consistently, efficiently, and sustainably.
This role focuses on how work moves through the agency, from pitch to delivery, across client services, creative, strategy, production, business development, and finance. You will bring clarity, structure, and consistency to agency operations while ensuring teams can move quickly, stay aligned, and deliver great work as the agency grows and evolves.
What You'll Be Doing:
Agency Operations & Workflow Ownership
Design and implement end-to-end agency workflows from pitch through delivery and completion.
Identify friction points in how work moves through the agency and introduce scalable improvements.
Create and maintain clear standard operating procedures, templates, and delivery standards.
Resourcing & Capacity Planning
Own staffing models, utilization tracking, and contractor planning.
Forecast resource needs based on pipeline and current work.
Partner with department heads on workload planning and future needs.
Project Delivery Excellence
Establish clear quality, scope, and approval standards.
Ensure work is delivered on time, on brief, and within defined budgets.
Introduce delivery tracking and reporting practices.
Financial Operations
Work closely with finance on budgeting, forecasting, utilization, and margin tracking.
Monitor financial performance and surface risks or opportunities early.
Improve project profitability through clear scoping and resourcing practices.
Systems, Tools & Reporting
Own operational tools, documentation, and internal resources.
Evaluate and roll out tools that improve visibility and efficiency.
Ensure onboarding and operational training materials stay current.
Teamwork & Culture
Act as a key operational partner across creative, strategy, production, and account teams.
Encourage consistent process adoption while protecting pace and quality.
Build clarity around ownership, expectations, and delivery across the agency.
What You'll Need:
7–10 years of experience in agency operations within a creative, marketing, production, or gaming-focused environment.
Demonstrated experience building and improving agency workflows across multiple functions.
Strong knowledge of project delivery, resourcing, utilization, and capacity planning.
Experience working closely with finance on budgets, forecasts, and margin tracking.
Hands-on experience with tools such as ClickUp, Monday, Asana, Harvest, Float, or similar.
Strong problem-solving skills and comfort using data to guide action.
Clear communication skills and the ability to align multiple teams.
Fluent in English.
